During a meeting with the doctoral student, the CSI evaluates the conditions of the student’s training and the progress of their research.
In particular, the CSI works to prevent any form of conflict, discrimination, or harassment.
The CSI is mandatory prior to each re-enrollment.
No CSI is required in the third year of the dissertation unless re-enrollment for the fourth year is necessary.
Certain situations (such as the need to re-enroll just before the defense due to scheduling constraints) do not warrant convening the CSI, and a “simplified” report may be submitted (to be considered on a case-by-case basis: contact the ED).
Composition of the CSI
The doctoral student participates in the formation of his or her CSI.
The composition of the CSI must meet the following minimum requirements:
-At least one member from outside the doctoral student’s laboratory.
-At least one member who is a specialist in the discipline or has expertise related to the thesis’s field. (Art. 11, Decree of August 26, 2022)
-At least one non-specialist member from outside the research field of the thesis. (Art. 11, Decree of August 26, 2022)
-At least one member holding the HDR qualification, who will serve as the CSI’s chair.
CSI members may not serve as thesis examiners.
The thesis advisor participates in the CSI but is not a member of the CSI.
Any member of the leadership of a laboratory or the doctoral program (ED) may officially be involved in a doctoral candidate’s CSI, provided, however, that they are not the candidate’s lead member. Nor may they represent the leadership of the laboratory or the ED in the subsequent process of re-enrollment or non-re-enrollment of the doctoral candidate in the program.
They must submit the composition of the committee to the doctoral program for approval before the first CSI meeting is held.
CSI Procedure
Prior to each CSI meeting, the doctoral student sends the CSI members a document describing the progress of their work.
During the CSI meeting, the doctoral student begins by presenting the progress of their work using visual aids, followed by a discussion with the CSI members.
This discussion is followed by a meeting with the doctoral student (without the advisors present) and a meeting with the advisors (without the doctoral student present).
The CSI makes recommendations and submits a report on the meeting to the doctoral school administration, the doctoral student, and the thesis advisor.
Supporting Forms for the CSI
A working group led by the Doctoral College (including doctoral student representatives) examined the conditions for conducting the Individual Monitoring Committee (CSI). This work resulted in the development of a reference document, proposed to all doctoral schools at the University of Grenoble Alpes (UGA), consisting of a questionnaire for the doctoral student and a form for CSI members. We invite you to download these documents and use them as part of your CSI.
